Privacy policy
Effective 26 September 2026.
This policy describes what personal data we process in the SetApka mobile app, in the production panel (panel.setapka.pl) and on the setapka.pl website, why we do it and what your rights are.
1. Controller
The controller is Jacek Piotr Strzelecki, who runs the SetApka service. Contact for personal data matters: strzelecki87@gmail.com.
For project content (call sheets, crew contacts, files), the production that creates the project and uploads documents decides what data goes into the app and who can access it.
2. What data we process
- Account data: the name given when joining a project, a technical account ID and — if you secure your account — your e-mail address (the password is stored only by the Google Firebase sign-in service, in encrypted form).
- Project content: call sheets and the data read from them — scenes, times, locations, cast, crew contacts (names, roles, phone numbers, e-mails), transport — as well as files, announcements and chat messages (including photos).
- Technical data: the push notification token, the app language and what offline mode needs (copies of files saved on your phone).
We don’t use ads or tracking tools and we don’t sell data.
3. Purposes and legal bases
- Providing the service — making the schedule, notifications, contacts and files available to project members (Art. 6(1)(b) GDPR).
- Automatically reading the call sheet from a PDF using artificial intelligence on the production’s behalf (Art. 6(1)(b) and (f) GDPR).
- Security and handling of requests (Art. 6(1)(f) GDPR).
4. Who has access to the data
Project data is visible only to people who joined the project with its code. Only people with the PRO role can change the schedule and upload documents. We entrust data to technical providers:

Transfers to the USA are based on the European Commission’s EU-US Data Privacy Framework decision or on standard contractual clauses.
5. How long we keep data
We keep project data as long as the project exists. You can leave a project at any time (Menu → Projects → Leave project). We will delete your account and related data on request sent to strzelecki87@gmail.com.
6. Your rights
You have the right to access, rectify and erase your data, to restrict processing, to data portability and to object. You can also lodge a complaint with the Polish data protection authority (uodo.gov.pl) or the authority in your country.
7. Changes to this policy
We will announce significant changes in the app or on this page.
